General Description

Performs advanced administrative work associated with corporate filings. Performs background checks on individuals who would have positions of significant ownership or authority with regulated entities to ensure such individuals have sufficient experience, personal and financial integrity, and financial ability to direct/lead a financial-type institution or MSB in a safe, sound and legal manner. Assists with maintaining the files and corporate records for the Department and assists with providing documentation for open records or other information requests. Position also assists the Director with his/her development of routine policies and procedures, schedules, and correspondence for the division. Works under limited supervision with considerable latitude for the use of initiative and independent judgment.

Duties and Responsibilities:

  • Central point of contact for a variety of databases and portals associated with background check responsibilities.
  • Coordinates, reviews, and reconciles background check and fingerprint information for applicants, new officers, directors, and principal shareholders.
  • Prepares correspondence related to background check information for state and federal counterparts, as well as applicants and regulated entities.
  • Reconciles fees associated with background checks with proper parties.
  • Assists the Director in developing and maintaining routine divisional procedures and policies.
  • Maintains record keeping and filing systems.
  • Reviews and monitors divisional imaged files on imaging platform and prepares reports.
  • Provides training and technical assistance to support personnel.
  • Assists with editing reports and special publications including the Corporate Bulletin and Finance Commission Reports.
  • Assists with setting up meetings in-person, virtually, and telephonically.
  • Monitors incoming correspondence via email and regular mail.
  • Assists the Director with developing schedules and correspondence for division.
  • Performs related work as assigned.

Required Minimum Qualifications:
    Experience and Education  

  • Graduation from an accredited High School or equivalent.
  • Five years of office experience including administrative support.

Preferred Qualifications

  • Experience performing background checks using Department of Public Safety and Federal Bureau of Investigations.

Knowledge, Skills, Abilities

  • Knowledge of policies, practices, procedures and terminology appropriate to assigned function.
  • Knowledge of administrative procedures, principles, and practices.
  • Accomplished keyboard skills including knowledge of personal computers, Microsoft Word and Excel software applications.
  • Skill in preparing and maintaining accurate records, reports, documents, and correspondence.
  • Skill in scheduling and managing multiple projects and deadlines.
  • Skill in written and verbal communication including formatting, composition, proofreading and editing.
  • Skill in setting priorities and establishing effective working relationships.
  • Ability to learn and use new software applications.

This position requires the incumbent to primarily perform sedentary office work; however, mobility (standing and walking) is routinely required to carry out some duties.  It requires extensive computer, copiers, printers, telephone, and client/customer contact.  The job also requires normal cognitive abilities requiring the ability to learn, recall, and apply certain practices and policies.  It requires the stamina to maintain attention to detail despite interruptions. Marginal or corrected visual, speech, and auditory requirements are required for reading printed materials and computer screens and communicating with internal and external customers.
